Terms of Service

1. Acceptance

By creating a ChurchVault account or using the platform, you agree to these Terms. If you are registering on behalf of a church or organisation, you confirm you have authority to bind that organisation.

2. The Service

ChurchVault provides church finance management software as a subscription service (SaaS). We host, maintain, and update the platform. You manage your own financial data within it.

3. Subscriptions & Payment

• Subscriptions are billed monthly or annually in advance via Paystack.
• Payments are non-refundable except where required by law.
• Failure to pay will result in account suspension after 7 days, and deletion after 30 days.
• We may change pricing with 30 days' notice.

4. Setup Process

After payment, setup requires you to reply to our setup instructions email with branch names, manager details, and approver details. Setup begins within 24 hours of receiving that reply. Delays caused by late replies are not our responsibility.

5. Your Financial Data

You own all financial data you enter into ChurchVault. This includes income records, expense records, bank account details, balances, and any other financial information belonging to your church.

We do not browse, read, analyse, or use your church's financial data for any commercial purpose whatsoever. Your financial records are yours alone.

• Technical access only: Platform administrators may access account data solely for authorised technical purposes — fixing bugs, responding to a support request you initiate, or restoring data after a system failure. This is logged and limited.
• No sharing: We will never sell, share, disclose, or transmit your church's financial data to any third party, except as required by a valid court order or Nigerian law.
• No analysis: We do not analyse, benchmark, or aggregate your financial data against other churches.
• Staff confidentiality: All ChurchVault team members are bound by strict confidentiality obligations. Any staff member who accesses customer data without authorisation faces immediate termination.
• Data separation: Each church's data is stored separately and isolated. No church can access another church's records.
• Your right to export: You may request a full export of your data at any time by emailing support@seemychurch.org.

5a. Platform Administrator Access — Transparency Notice

As with all hosted software platforms (including QuickBooks Online, Wave, Xero, and similar services), the platform operator maintains database-level access necessary to run the service. We are transparent about this: super-administrator accounts can technically access the database that stores your data.

What we commit to is this: that access will never be used to read, monitor, or act on your church's financial information except when you explicitly request support. This commitment is legally binding under these Terms and our Privacy Policy.

6. Acceptable Use

You agree not to:

• Use the platform for any unlawful financial activity
• Attempt to access other churches' data
• Share your login credentials with unauthorised persons
• Attempt to reverse-engineer or hack the platform
• Use the platform to process payments unrelated to your church

7. Account Security

You are responsible for maintaining the security of your login credentials. The 2-person expense approval system is a safeguard we provide — you are responsible for nominating trustworthy approvers.

8. Service Availability

We aim for 99.5% uptime. Scheduled maintenance will be notified in advance. We are not liable for losses resulting from downtime beyond our control.

9. Termination

Either party may terminate at any time. Upon termination, data is retained for 30 days then deleted. We may terminate accounts for violations of these Terms without refund.

10. Limitation of Liability

ChurchVault is a financial record-keeping tool. We are not responsible for accounting errors arising from incorrect data entered by users, nor for decisions made based on the platform's reports. Always verify critical financial decisions with a qualified accountant.

11. Governing Law

These Terms are governed by the laws of the Federal Republic of Nigeria. Disputes shall be resolved by negotiation first, then by the courts of Lagos State.
